Dow Jones Executive Assistant in NEW YORK, New York

Job Description:

About the Role

As the Executive Assistant, you will report to and provide administrative support to the Dow Jones CFO. You will determine the routing and response for phone calls and mail, prepare and send correspondence, prioritize projects and calendar to maximize the executive's time and productivity.

You Will:

  • Maintain the calendar for the executive with a two to three week view, being attentive to priorities and optimal use of the executive's time.

  • Schedule in person meetings and video conferences at Dow Jones offices worldwide and all offsite meetings that the executive attends and be available in case there are technical issues that need to be troubleshooted or coordinated with the NewsTech team.

  • Prepare and provide proper preparation materials and files for each day's meetings and events.

  • Coordinate global travel with a detailed itinerary including transportation and lodging services.

  • Maintain confidential files, including competitive and strategic planning information on the CFO share drive.

  • Work with the Director of Finance Operations to understand the executive's goals and objectives to anticipate deliverables and follow up.

  • Prepare and track any relevant expenses on behalf of the executive and ensure departmental bills are being paid.

  • Manage the weekly email folder. (Friday afternoon into the weekend, needs to be finalized by 6 AM Monday morning)

  • Be knowledgeable about company policy and procedures, department and personnel and of the information industry in general.

Including, but not limited to the following personal and professional tasks:

  • Manage personal contacts and appointments

  • Log into personal accounts and handle customer service issues

  • Current environment office support (hybrid office - NY/NJ/WFH)

  • Get coffee, order and pick up lunch and run personal errands.

  • Bind meeting materials, copy or print documents.

  • Support the CFO with Chrome, iPad, iPhone or Computer issues.

You Have:

  • Experience with Microsoft and Google Suite of products

  • Five or more years experience in the administrative assistant field, supporting senior management.

  • Customer focus - working with staff and clients of all levels. Ability to maintain professional demeanor and calm composure under deadline pressures and in sensitive or stressful situations.

  • Ability to act with confidence and assertiveness.

  • Ability to manage multiple projects and people simultaneously.

  • You have a positive, problem solving attitude.

  • A college degree is preferred.

Office Hours:

You will be in the office every day between 8am and 6pm with flexibility for early morning or late evening meetings and required to be responsive to emails/texts/calls in off hours.


You will be required travel to the NYC and Princeton offices. May require travel to other offices, conferences and conventions.
